Format Cells in Excel More Efficiently

When typing many words into a single cell in Excel, you might find it looking disorganized.

 

Or, perhaps when you print an Excel spreadsheet, your cells aren’t wide enough to display all the information it contains?

 

Houston computer service expert Cheryl Smith shares a few tips on how to format the cells to fit your preferences.

 

There are several methods, to accomplish this task, but here is one shortcut that works. Using you mouse, click between the two letters of the cells in which you would like to alter.

 

§         At this point you can either drag the cell to desired width

OR

§         Double click the mouse and Excel will format for you.

 

Like any function in Excel, there are many ways to do what you would like to accomplish. By going to the Format tab on the toolbar, you also have the ability to change width and height of columns and rows.

Create Excel Spreasheets More Quickly

Do you spend too much time and energy typing information in an Excel spreadsheet?

 

Would you like faster way to do this?

 

How about sequential information - like numbers or dates?

 

Houston computer service expert Cheryl Smith shares a few tips: 

 

For Repeated data:

 

  1. Enter the first data in cell desired.
  2. Highlight all cells in which you want this data to appear
  3. Use function command: Control D, Control F or Edit Fill

 

For Sequential data:

 

1.       Enter the first data preferred such as; January, Monday, or a date 8-25-2010 etc.

2.       Click at the bottom of this cell allowing the Fill Handle (black cross) to appear

3.       Drag this handle to the end of desired cells; this will automatically fill in the information for you.

Printing Email Attachments Quickly - Without Opening the Email

If you’re like many of our clients, you frequently receive email attachments that need to be printed.

So what happens when you get multiple emails containing multiple attachments – and you need them printed quickly?

Print email attachments without opening the email

Traditionally, we open the email, open the attachment, click ‘File’ and print. But there’s a quicker option. Houston IT Consulting specialist Cheryl Smith has compiled the following steps to opening jpegs, pdfs or any other attachment - without ever opening the email.

(*Please bear in mind that this option does not allow you to choose a printer or certain preferences like stapling/collating, but it’s much quicker to print if these things are not important to you.

Follow these two easy steps:

  1. Make sure the Reading Pane is open. Click ‘View’, ‘Reading Pane’, and select “Bottom” or “Right” (depending on your personal preference)
  2. Right click on the attachment in the Reading Pane, and click “Print”

The attachment will open briefly, close, and print the document on your defaulted printer. This works with any attachment, of any size, saving you considerable time.

Houston Disaster Recovery Tech Tip #3

We see and hear warnings for Hurricane Season on television, radio, in newspapers, and even on bulletin boards. For some people, these messages have become so commonplace; we’ve begun to ignore them.

 

We’ve seen the value of disaster planning. Unfortunately, we’ve also seen the drawbacks of not planning. That’s why we’re offering our clients and friends the following suggestions on how to prepare…before a disaster occurs:

 Step 1: Equipment Storage

·         Elevate Electronic Equipment (Triple E Action)

·         Secure Electrical Wires

Step 2: Power Alternatives

·         Install Battery Backup System (This should only be used as a temporary use of power; for a graceful shutdown of your computer.)

·         Generators. Gas tanks & cans should be full of gas. (As long as you have electricity (and Internet), you have access to your IsUtility® service. Remember to save your data frequently as gas can run out without notice.)

Step 3: Protection of Electronic Items

·         Surge protectors (only useful for power surges)

·         Turn OFF all electronic Items during any storm and unplug them!
